Agency teams: run a shared book across producers and staff
5 min read
A solo broker account stays solo — you only ever see your own clients. Nothing below applies until you create an agency or accept an invite from one.
An agency puts every client, document, quote comparison, and carrier submission into one shared book so coverage doesn't depend on who happens to be at their desk.
- 1
Create the agency (or accept an invite)
In broker settings, open the team panel and create your agency. Your existing clients stay exactly where they are and become the agency's book. If a teammate already created it, accept their invite instead.
- 2
Invite teammates and pick a seat
Each invite carries a seat: Principal/Owner manages seats and billing, Producer owns client relationships, Account manager/CSR edits the book without changing seats, and Read-only can view but not edit.
- 3
Switch between My book and Whole agency
The toggle in the broker header changes every list — clients, folders, comparisons, submissions — between your own book and the full agency. Teammate-owned clients show a producer badge so ownership is always clear.
- 4
Use team activity
The team activity panel in settings shows recent clients added, comparisons built, documents uploaded, and submissions opened, with a per-teammate count for the week.
- 5
Reassign before removing a seat
When a producer leaves, reassign their clients to another teammate first — removal requires it, so no account is left without an owner.
Good to know
- • Give new hires a Read-only seat while they learn the book, then upgrade them to Producer.
- • Keep one named producer on every client so renewal reminders always have an owner.
